Woodstock Team Member Handbook

We are so excited to welcome guests for Give A Kid A Chance! Not only do we have the opportunity to meet the needs of these families for the beginning of the new school year, but it’s also a time to connect, build relationships, and share the love of Jesus with them. Thank you so much for volunteering your time for this event.

IMPORTANT INFO & REMINDERS

PARKING: All Team Members must park in the designated Team Member parking area. This will be in the back of the parking lot to the right of the three-way stop.

ARRIVAL TIME: Please arrive no later than 8:00a and enter through the Sanctuary entrance where all Team Members will check-in and receive a name tag in the main lobby. Breakfast bars, fruit, and coffee will be available for you. Please take advantage of this before the event begins, as you will not easily be able to leave your position once the event has started.

LUNCH: Lunch will be served beginning at 12:15p.

PERSONAL INFORMATION: Please do not give out personal information to guests. If you encounter a family that may be in need of additional assistance, you can either:

  • Tell families they will receive an invite packet as they leave the event. This packet includes a QR code that takes them directly to our website where they can find additional information and resources.
  • Take down their contact information to be given to a staff member at the end of the event.

PERSONAL PHOTOS: We want you to have fun and enjoy this special day, but all photos must exclude attending families and their children. Many of our guests are in sensitive situations where photography could compromise their safety.

PROCESS FOR FAMILIES

  1. Guests arrive every 15 minutes and have an assigned time. They are directed to park by the Parking Team

  2. Guests are greeted by our Welcome Team and connected with a Family Buddy outside the Celebration Hall lobby. The Family Buddy will walk each family to the Check-in Area in the Celebration Hall lobby.

  3. The Family Buddy escorts the family into the Celebration Hall where each child will get to pick out their backpack.

  4. Once kids are finished picking out a backpack, they will head to the back of Celebration Hall where the Family Buddy assists families in filling the kids backpack with supplies from the age-appropriate sections.

  5. Once they are finished choosing supplies, the Family Buddy escorts them into the main hallway and takes a left to get to the prayer room. There, they can receive prayer if they want someone to pray with them. This is where the Family Buddy lets them know about activities outside and says goodbye!

  6. There will be fun games, crafts and bounce houses outside for families to enjoy for the remainder of their time with us. The Crafts and Games Teams will be there to assist as needed.

  7. While outside, families can also visit the Community Resources, where multiple community organizations will be stationed with additional information/resources for the parents to check out.

  8. Each family will also have the option to receive groceries, provided by our partner, Forever Fed. The Food Distribution Team will help families carry their groceries to their cars.

PARKING TEAM

The Give A Kid A Chance experience starts with you! The Parking Team will greet and guide Team Members and families to their parking areas.

Some things you can expect to do:

  • Dress appropriately for the weather.

  • Get a parking vest, walkie talkie, and your assigned serving location from your Team Leader. Team Members are parking in the back of the Sanctuary side lot.

  • Welcome all families and Team Members as they arrive and direct them to their parking areas.

  • Guests are parking in front of the main office, the gravel lot, and in the front area of the Sanctuary parking lot. At the stop sign, ask families what their assigned arrival time is. If they are early they need to remain in their car until their designated time or return later.

WELCOME TEAM

Our Welcome Team greets families as they approach and assists families during their visit.

Some things you can expect to do:

  • Greeters outside will hold signs and greet families as they enter. Be highly energetic and welcoming! We want families to feel loved and cared for!

  • If there is a line to Check-In, please continue to talk with the families until a Family Buddy is available.

  • Greeters inside will be stationed in various positions throughout the building to help assist families as they move throughout the event.

  • Greeters outside of Celebration Hall will place a sticker on each child’s tag as they exit and direct families towards the prayer area and outdoor activities.

  • Exit Greeters tell families goodbye as they exit, encourage them to participate in all the outside activities and confirm they have their registered parent name tag for food pick up.

  • If the registered parent loses their name tag which they will need to pick up food, please direct them to Kathy Cash or Chrissie Johnston.

CHECK-IN TEAM

Our Check-In Team checks off each family’s registration information and helps the Family Buddy distribute name tags.

Some things you can expect to do:

  • Be prepared to welcome families.

  • Parking Check Team Members are screening all families in the parking lot:
    • Welcome them & ask for their QR code in their confirmation email. Scan the code with your phone which will populate the name and time that they are registered under.

    • Mark them off the list, and direct them to follow the Parking Team Members.

    • If they arrive 20 min or more prior to their assigned time, they need to remain in their car until their designated time or come back within 5 minutes of their assigned time.

    • Due to the nature of this event, we cannot take unregistered guests.
      • If you encounter a family who did not register and was hoping to show up and participate, please apologize that we cannot accommodate them.

      • Let the closest Parking Team Member know they are not staying so they can direct them to the exit.

  • Pre-Check Team Members are screening all families before entering the check-in line:
    • Ask for their assigned time, the Parent/Guardian Name they registered under, and mark them off the list.

    • Write first initial and last name on card with line #, hand it to the Family Buddy who will direct them to the appropriate check-in line.

  • Final Check Team Members are handing off pre-printed names tags to the Family Buddy:
    • Ask for the written name card they received at Pre-Check with first initial and last name.

    • Confirm which family members are present. Each registered parent/child will have a pre-printed name tag.

    • IIf a child/adult is not registered, give them a pre-printed guest name tag.

    • Mark off family on hard copy list.

    • The parent with the printed name tag will turn it in when they pick up their food box. (If that parent did not come, please give it to the parent with the guest name tag to turn in for their food box.)

  • Please send Community Partners or Local Pastors to Kerry Kiefer.

FAMILY BUDDY TEAM

Our Family Buddy Team guides each family through the GAKAC experience! Every Family Buddy will receive a Supply List to use in assisting families with picking out supplies.

Some things you can expect to do:

  • Welcome Family at the doors and accompany them to Check-In.

  • Assist the family in checking in where they will receive their name tags from the Check-In Team.

  • Make sure everyone has a name tag and that the family has their name tags on at ALL times!

  • As you begin to walk the families toward Celebration Hall, explain that each child will get to pick out their backpack and supplies from either the Elementary / Middle / High School areas. The kids' name tags will indicate what area they go to.

  • Coordinate with the team in each area as you move throughout the event. The Backpack Team and Supply Team are there to assist you to make sure each child has what they need.

  • After backpacks are chosen and filled with supplies, take them towards the lobby doors and go over the following information before releasing them to enjoy the rest of the event:
    • Give them the invite packet and invite them to church. The invite packets will be on tables as you arrive at the prayer area.

    • Remind them to take advantage of the activities and resources available.

    • Answer any questions.

    • Ask them if they need anyone to pray for them. Show them where the prayer team is.

    • Remind them to pick up their food before they leave the parking lot using the registered parent’s name tag.

    • Tell them goodbye and encourage them to have a great school year.

  • Return immediately to check-in after your family is escorted to the prayer area.

BACKPACKS TEAM

Our backpack team will assist the Family Buddy and families with picking out a backpack for each child. We want this team to be high energy and get the kids excited about a new backpack and the upcoming school year!

Some things you can expect to do:.

  • Assist each child in picking out a backpack. While we don’t want them to feel rushed, please encourage them to make their choice as quickly as possible.

  • Restock backpacks during the event.

  • Manage inventory so that quality backpacks are available for entire event.

  • Each child only gets to pick out ONE backpack.

  • Once kids have picked out a backpack, direct them to the school supply area.

SUPPLIES TEAM

Our school supplies team will assist kids with picking out the correct amount of supplies for their new backpack. We want this team to be high energy and welcoming!

Some things you can expect to do:

  • Assist each child to pick out the right amount of each school supply. While we don’t want them to feel rushed, please encourage them to make their choices as quickly as possible.

  • Restock tables with supplies as needed.

PHOTO BOOTH TEAM

Our Photo Booth Team is available to help take pictures at our Back To School photo booth area! We want this team to be high energy and help the kids have fun!

Some things you can expect to do:

  • Help parents take pic of kids with the back to school signs using their cell phones.

  • Help manage the line and direct it in a way that does not interfere with foot traffic.

  • We want them to have fun BUT not take up too much time. Encourage them to get the photo and move to the next area.

PRAYER TEAM

Our Prayer Team is ready to pray with parents seeking prayer. Good conversations often lead to an opportunity to pray over a family.

Some things you can expect to do:

  • The Family Buddy will bring families who want prayer to the Prayer area and drop them off with the Prayer Team.

  • Notecards will be available for families to write down prayer requests and names. Written prayer requests will be passed on to Hillside’s Prayer Team, so we can continue to pray for their family.

  • At the end of the day, give any written prayer requests to Tina Kirkland.

  • Once you finish praying for a family, direct them to exit the building to participate in the resource area, games, crafts, activities, and food distribution.

SAFETY TEAM

Our safety team makes sure everyone stays safe while having fun!

Some things you can expect to do:

  • All Safety Team members will have radios and will help facilitate communication across the building.

  • All Safety Team members should be familiar with the flow of traffic throughout the building during the event. Your Team Leader will have a map of foot traffic and areas.

  • No family should go backstage or upstairs at any time.

  • Parents are responsible for their kids throughout this event.

  • If a child is missing their parent(s), find a Safety Team Leader or a Staff Member who will help reunite them with their family.

  • In the Lobby make sure kids are not walking around without a parent or team member.

CRAFTS TEAM

Our crafts team members interact with families as they visit craft stations outside.

Some things you can expect to do:

  • Walk around the craft area, making sure crafts are stocked.

  • Help kids with crafts as needed.

  • Connect with families.

GAMES TEAM

Our games team members interact with families as they visit game stations outside.

Some things you can expect to do:

  • Help run games and manage lines as needed.

  • Connect with families.

FOOD DISTRIBUTION TEAM

This is the last stop for our families during Give A Kid A Chance, and our Food Team gets to make sure our families leave feeling loved and cared for! These teams will work together to load food into each family’s vehicle.

Some things you can expect to do:

  • Collect the pre-printed parent name tag, not the handwritten tag.

  • Help carry groceries to each car.
